FreshAir Sensor Reduces Customer PMS Integration Cost by 70% with PolyAPI

FreshAir Sensor provides smoking detection and air quality monitoring technology to hospitality operators. FreshAir’s patented molecular sensors continually monitor in-room air quality to detect smoking events and automatically charge for verified violations.. Each deployment requires their IoT air quality sensors to integrate into the hotel’s property management system, so that billing can be done according to the hotel’s standard rules and procedures.

As FreshAir began to expand into large chains and casinos, integration complexity began to slow onboarding timelines and introduce risk into the sales process. The ability to integrate quickly and reliably became critical to sustaining growth. “As a company focused on advancing sensor technology, our strength lies in innovation and air quality excellence—not in building out complex integrations or managing middleware layers. That’s where PolyAPI comes in,” said Will Darrah, Chief Commercial Officer at FreshAir. FreshAir chose PolyAPI as their full-service integration partner to build and maintain their PMS integrations so that they could continue to scale customer adoption.

Challenge

As FreshAir expanded into larger enterprise accounts, integration timelines began to slow revenue realization and introduce uncertainty during sales cycles. Enterprise prospects required confidence that FreshAir could integrate seamlessly into their existing systems, and variability across hotel environments made timelines difficult to predict.

Operationally, FreshAir’s internal engineering team was responsible for both advancing the core product roadmap and delivering custom integrations for new customers. This dual mandate stretched resources and created tradeoffs between product innovation and implementation delivery.

Technically, many enterprise deployments required one-off integration solutions tailored to specific system configurations. These bespoke implementations were difficult to standardize and maintain, increasing long-term operational burden. FreshAir’s leadership recognized that sustainable growth required a different model—one where a dedicated integration partner could build and manage integrations aligned with enterprise expectations, while internal teams refocused on core product development.

Solution

Following a referral from Hapi Cloud, FreshAir selected PolyAPI as their full-service integration partner. Poly designed and implemented a reusable, API-driven foundation on the PolyAPI platform that standardized how integrations were built, deployed, and maintained. Core integrations to systems such as OPERA Cloud were modeled as modular, extensible functions, supported by flexible transformation logic to accommodate the specific configurations of each hotel environment. This approach allowed additional OPERA Cloud properties to activate integrations with minimal incremental effort, while establishing a repeatable pattern for onboarding new property management systems using the same architectural framework.

Beyond providing platform infrastructure, Poly assumed end-to-end responsibility for integration delivery, including development, customer onboarding, and ongoing 24/7 monitoring and operational support. This model ensured integrations were built consistently and actively managed in production, eliminating the need for FreshAir to design or operate a middleware layer internally. “Partnering with PolyAPI has been a game-changer for our business. Their platform and expert team have allowed us to completely offload the heavy lifting when it comes to API integrations, document creation, and custom middleware logic. Whether it’s a straightforward API connection or a highly tailored solution designed to meet large-scale enterprise demands, PolyAPI delivers with precision and reliability,” noted Darrah.

By establishing a dedicated and repeatable integration function, Poly created an efficient operational process aligned with FreshAir’s commercial objectives. In parallel, Poly supported enterprise sales efforts by participating in technical discussions, validating integration patterns, and providing architectural clarity during complex deal cycles—instilling confidence in large prospective customers. “What sets PolyAPI apart is their flexibility and deep technical expertise. They’re not just a vendor—we see them as true partners who understand our needs and proactively support our success. With PolyAPI handling our integration layer, we’re able to stay laser-focused on our core mission, while knowing our digital ecosystem is in expert hands,” continued Darrah.

Results

Following the implementation of PolyAPI’s integration framework, FreshAir saw measurable improvements across delivery, cost efficiency, and enterprise sales execution.

Operational Impact

  • Faster Integration Delivery: Standardized architecture and dedicated ownership reduced integration timelines and increased predictability across customer deployments.

  • Reduced Internal Development Costs: By offloading integration development and management, FreshAir decreased internal development expenses related to integrations by approximately 70%, allowing engineering resources to refocus on core product innovation.

  • Improved Reliability: Centralized monitoring and standardized implementation improved production stability and reduced deployment risk across properties.

  • Stronger Enterprise Sales Execution: Integration readiness shifted from a point of uncertainty to a point of confidence. FreshAir was able to commit to compatibility and onboarding timelines earlier in the sales cycle, accelerating deal progression and strengthening customer trust.

Enterprise adoption is shaped not only by the core product, but by the reliability and scalability of the systems that support it. By removing integration friction, FreshAir strengthened both operational performance and brand credibility with large hospitality operators.

Looking Ahead

As FreshAir continues to expand adoption of its air quality and smoking detection technology, the company is introducing new offerings such as FreshAir Certified—a program that enables hotels to designate and monetize rooms that meet certified air quality standards. Guests can select the FreshAir Certified enhancement as a bookable add-on during the reservation process, through pre-stay communications, or at check-in for an additional fee. With a scalable integration architecture already in place, FreshAir can bring new innovations like this to market more quickly and with greater confidence.

“With PolyAPI as a strategic partner, we are positioned to operate smarter and scale faster than our competitors. By leveraging their robust infrastructure and deep integration expertise, we can confidently meet the evolving demands of our customers with speed and agility. We couldn’t be more pleased with the relationship and look forward to continued growth together,” says Darrah.

Poly is thrilled to partner with FreshAir to help them continue to scale the adoption of their cutting-edge technology in the hospitality industry.
